1. About This Policy
This Privacy Policy explains how Gippsland Land, Civil & Forestry Solutions (“we”, “us”, “our”) handles personal information collected through this website.
It covers this website only. It does not cover information you give us in other ways — for example during a site inspection, over the phone, or in a signed contract — although we will handle that information consistently with the principles set out here.

2. Our Privacy Obligations
Whether the Privacy Act 1988 (Cth) and the Australian Privacy Principles apply to a particular Australian business depends on a number of factors, including its annual turnover and the nature of its activities. Some small businesses are not covered, and others are covered only for certain activities.
As an Australian small business with annual turnover below the $3,000,000 statutory threshold, we are generally exempt from the Australian Privacy Principles under the small business operator exemption of the Privacy Act 1988 (Cth). Nonetheless, we voluntarily uphold fair, transparent and respectful data handling standards across all operations.
Independently of that question, we handle personal information in the way described in this policy, and we treat the handling of your information as a matter of basic professional respect.
3. What Personal Information We Collect
This website has a single enquiry form, on our Contact page. When you submit it, the enquiry is sent to this website’s own server function and recorded in our enquiry database, where our team manages it. The form asks you for the following information, all of which is required in order to submit:
| Field | Why we ask for it |
|---|---|
| Full name | So we know who we are speaking with and can address our reply. |
| Phone number | So we can call you to discuss the scope of work. This is usually the fastest way to deal with an earthworks enquiry. |
| Email address | So we can send a written reply, scope breakdown or quote. |
| Service required | So we can direct the enquiry to the right crew and plant. |
| Project suburb or township | So we can assess travel, mobilisation and whether the site is within our operating region. |
| Project details and scope | So we can understand the work. Anything you choose to write here is up to you. |
Information we do not ask for
This website does not ask you for, and has no field for, any of the following: date of birth, government identifiers (such as a driver licence, Medicare or tax file number), bank, credit card or payment details, or any health, financial or other sensitive information. Please do not include information of that kind in the enquiry form.
Information collected automatically by our host
Like effectively every website, requests to this site are logged by the hosting and content delivery provider. Those logs can include your IP address, the date and time of the request, the page requested, your browser type and the referring page. We do not use these logs to try to identify individual visitors, and this website runs no analytics or visitor-measurement product — see our Cookie Policy.
Information you send us directly
You may also email or call us using the details published on this site. If you email us site photographs, engineering plans or survey documents, we receive whatever you choose to send, including any personal information contained in those documents.
4. How We Collect Personal Information
We collect personal information:
- directly from you, when you submit the enquiry form on this website;
- directly from you, when you telephone us or send us an email;
- automatically, in the server request logs kept by our hosting provider, as described above.
We do not buy personal information, and we do not collect it from data brokers, marketing lists or social media profiles.
5. Why We Collect It And How We Use It
We use the personal information you submit through this website only for purposes connected with responding to you and carrying out the work you have asked about, namely to:
- respond to your enquiry and answer your questions;
- prepare and send you a quote or scope breakdown;
- arrange and conduct an on-site inspection or feasibility assessment;
- plan, schedule and deliver work you engage us to do;
- keep a record of what was discussed and quoted, for the purposes of the job and of our own business records;
- comply with any legal, insurance, work health and safety or record-keeping obligations that apply to us.
We do not use it for marketing
At the date of this policy we do not operate any email newsletter, mailing list, advertising programme or marketing automation, and this website contains no marketing sign-up. Submitting an enquiry does not sign you up to anything. We will not add you to a marketing list on the basis of a quote request.
If that ever changes, we will update this policy, and we will seek your consent separately rather than treating an existing enquiry as consent. Any commercial electronic message we send would include a working unsubscribe facility.
We do not sell your information
We do not sell, rent or trade personal information to anybody.
7. Disclosure Outside Australia
Some of the service providers this website depends on are located outside Australia, or may store or process data outside Australia. This means that information submitted through this website is likely to leave Australia.
- Our enquiry database — hosted via Google Cloud / Firebase in the Sydney (australia-southeast1) region.
- FormSubmit — real-time automated relay notification used to alert dispatch staff immediately when an online enquiry is lodged.
- Vercel — our hosting and content delivery provider, a United States company operating a global network. Requests from Australian visitors are generally served from a nearby edge location, but logs and configuration may be handled in other countries.
- Google Fonts — operated by Google, a United States company, through a global network.
- YouTube — operated by Google, a United States company. Contacted only if you press play on a project video.
We cannot practically guarantee that an overseas provider will handle your information in the same way an Australian one would. If you would prefer not to submit personal information to an overseas service, please telephone us on 0450 999 759 instead of using the website form.
9. How We Store And Protect It
Enquiries submitted through this website are stored in our enquiry database, which only our own staff can reach after signing in with a password. Where email notification is enabled, a copy also arrives in our business email inbox. Enquiries that become jobs are additionally held in our ordinary job and quoting records.
We take reasonable practical steps to protect personal information, including:
- limiting access to the enquiry database, our email and our job records to the people in the business who need it;
- protecting the staff area of this website with an individual password that is stored only as a cryptographic hash, never in readable form;
- serving this entire website over an encrypted HTTPS connection, so that information you type into the enquiry form is encrypted in transit;
- using reputable, mainstream providers for hosting and email rather than ad hoc arrangements;
- deleting or archiving records we no longer need.
We want to be straightforward about the limits of this. No website, email system or internet transmission can be made completely secure, and we cannot guarantee that personal information will never be accessed, disclosed or lost as a result of an event outside our control, including a security incident affecting one of the third-party providers listed above. We do not promise absolute security, and you should not send us anything through this website that you would not be comfortable sending by email.
10. How Long We Keep It
How long we keep an enquiry depends on what came of it.
- Enquiries that do not proceed. We keep these while the enquiry is live and for a period afterwards, in case you come back to us about the same site. Target retention period: 28 days following the conclusion of enquiry discussions.
- Enquiries that become jobs. These form part of the job record and are kept for as long as we need them for the work, for warranty, insurance, safety and tax purposes, and for as long as any applicable law requires. Target retention period: 7 years from job completion, in accordance with Australian taxation and business compliance standards.
- Hosting and delivery logs. These are kept by our hosting provider for its own operational periods, which we do not control.
We will not keep personal information indefinitely for no reason. When we no longer need it, we delete it or archive it securely.
11. Accessing And Correcting Your Information
You may ask us what personal information we hold about you, ask for a copy of it, and ask us to correct it if it is wrong, out of date, incomplete or misleading.
To make a request, contact us using the details in section 14 below. Please tell us what you are looking for, so that we can find it — for example the approximate date of your enquiry and the project location.
We will respond within a reasonable period. There is no charge for making a request, although we may need to recover a reasonable cost if a request requires substantial work to compile. We may need to verify your identity first, so that we do not disclose someone else’s information to the wrong person.
If we decline a request, we will tell you why in writing, and explain how you can complain about that decision.
12. Privacy Complaints
If you believe we have mishandled your personal information, please raise it with us first. Most issues can be sorted out quickly and directly.
- Contact us using the details in section 14, marking your message “Privacy complaint”, and tell us what happened and what you would like us to do.
- We will acknowledge your complaint, look into it, and give you a written response. Target response time: Within 7 working days.
- If you are not satisfied with our response, you may be able to take the matter to the Office of the Australian Information Commissioner (OAIC), the national privacy regulator, at oaic.gov.au. Whether the OAIC can consider a complaint about this business depends on whether the Privacy Act 1988 (Cth) applies to it — see section 2.
13. Changes To This Policy
We may update this policy from time to time, including if we add a new service to this website, change form providers, or begin using analytics. If we do, we will change the “Last updated” date at the top of this page.
Where a change is significant — for example if we were to introduce analytics or marketing — we would not apply it retrospectively to information already collected without taking appropriate steps, including seeking consent where that is required.
